PRIVACY POLICY FOR DHF CROPIQ APPLICATION

1. Introduction
This privacy policy protects your rights and personal data when using the DHF Crop IQ app developed by DHF Technology and Trading Co., Ltd. It explains how we collect, use, store, secure, and share your information in accordance with applicable laws. By using the app, you agree to this policy in its entirety.
2. Scope
This policy covers all services and features of the DHF Crop IQ app and related channels provided by DHF Platforms. For third-party integrations, please review their respective privacy policies.
3. Data We Collect
3.1. Personal Data:
Identification: Phone number, email, address.
Location (farm GPS): Collected from crop images and farm data to ensure accurate farm records and traceability.
Food Safety Certification (per Decree 13/2023) and related agricultural documents.
Financial data: Collected when credit assessment, invoicing, or lending provider connection features are activated.
3.2. Farm Data: Information on the number of farms and total cultivation area.
3.3. Seasonal Data: Details about planting seasons, crop types, farming methods, and seed varieties.
3.4. Farmer Log Data: Records of farm activities (e.g., watering, fertilizing, spraying, weeding, harvesting, season end) with descriptions and images.
3.5. Financial & Payment Data: Not collected yet; planned for future implementation.
3.6. Device & Tracking Data: Technical data such as device type, operating system, and IP address are collected solely to improve app functionality and user experience. This data is not used for tracking users across apps and websites owned by other companies for targeted advertising or advertising measurement purposes.
4. Purpose of Data Use
Service Provision: Manage agricultural data and production activities.
App Improvement: Analyze data to enhance service quality and develop new features.
Customer Support: Handle inquiries, provide updates, and offer technical assistance for both crop management and app-related issues.
Legal Compliance: Meet legal obligations for data storage and processing.
4.1. Consent Mechanism
Before collecting specific data (e.g., Food Safety Certification), the system prompts:
"To use this feature, we need to store your Food Safety Certification. Do you agree?"
You may decline without affecting basic app functions. A confirmation email with withdrawal instructions will be sent upon data collection.
5. Data Sharing & Disclosure
Your personal data is shared only under the following conditions:
No Sale or Rental: We do not sell, rent, or exchange your personal data without consent.
Legal Compliance: Data may be provided to authorities or technical partners as required by law.
Service Partners: Data is shared with partners for operations, maintenance, and data analysis under strict security commitments.
5.1. Third-Party Sharing Examples
Device data shared with Google Analytics and Firebase is used solely for analyzing app performance and user behavior within our app. This data is not linked with third-party data for advertising purposes or shared with data brokers.

5.2. App Tracking Transparency
Our app does not engage in tracking as defined by Apple's App Tracking Transparency framework. We do not link data collected within our app with third-party data for advertising purposes or share it with data brokers. While we collect certain technical information to improve our services, this information is used solely within our app ecosystem for analytical and operational purposes.
6. Data Storage & Deletion
Storage: Data is securely stored on our systems with modern security measures. Retention is based on usage purposes and legal requirements.
Account Deletion:
Account deletion functionality will be available in the next update.
In the meantime, users can request account deletion by contacting tech-support@dhfplatforms.com.
Upon receiving a deletion request, we will process it according to our data deletion procedures described below.
6.1. Detailed Deletion Process
Initiation: Log in and verify via email before selecting account deletion. A warning about permanent data loss (seasonal data, logs, images) is displayed.
Procedure:
Select Home → Delete Account.
Confirm deletion intent.
Enter the verification code sent to your registered email.
Third-Party Disconnect: Unlink services (e.g., Google, Facebook) to prevent data leakage.
6.2. Post-Deletion Handling
Data Classification & Handling:
Personal Data (phone, email, address): Fully deleted from the main system (GDPR, Vietnamese Cybersecurity Law).
Food Safety Certification: Anonymized storage if legally required (per Decree 13/2020/ND-CP).
Farm & Seasonal Data: Retained in aggregated, encrypted form.
Farmer Log Data: Fully deleted unless needed for contract dispute resolution.
Multi-layer Deletion:
Application Layer: Immediate removal from the user interface.
Storage Layer: Deleted from the active database within 24 hours.
Backup Layer: Data remains in backups for up to 6 months before permanent deletion.
6.3. Processing Time
Recovery Phase: 30 days to request account restoration via email.
Post-Recovery: After 30 days, backup deletion may take up to 6 months.
6.4. User Expectations Post-Deletion
Login: Deleted accounts cannot log in; a message will indicate, “This account has been deleted. For assistance, contact Customer Support: +84 (0)39 224 8289 (during business hours).”
Data Access: API or interface access is blocked.
Restoration: Within 30 days, request restoration by providing valid ID (CMND/CCCD) or contacting Customer Support. After 30 days, only an aggregated report may be provided upon request.
Dispute Resolution: An anonymous copy of the Food Safety Certification and transactions is maintained for legal disputes.
7. Security Measures
Encryption: Personal data is encrypted during transmission and storage.
Access Control: Only authorized personnel can access the data.
Security Systems: Firewalls, anti-intrusion software, and other technologies are in place.
Staff Training: Regular training ensures enhanced security awareness and skills.
8. User Rights
Access & Correction: View and update your personal information.
Deletion Request: Request deletion of your account and personal data.
Consent Withdrawal: Withdraw your consent at any time.
Complaints: Submit any concerns or complaints regarding data processing.
9. Third-Party Links
The DHF Crop IQ app may include links or integrations with third-party services. This policy does not apply to those services—please review their privacy policies.
10. Policy Updates
This privacy policy may be updated periodically to reflect changes in our business practices and legal requirements. Updates will be announced on the app and/or via email. Continued use of the app constitutes acceptance of the updated policy.
11. Cross-Border Data Transfers
Storage Location: Servers in Singapore (AWS Asia-Pacific).
Protection Measures:
Use of Standard Contractual Clauses (SCCs) for data transfers from the EU/UK.
AES-256 encryption for data transmission.
EU User Rights: You may request restrictions on data processing under GDPR through the in-app support feature or by contacting us at tech-support@dhfplatforms.com.
12. Child Protection
This app is not intended for children under 13 years old.
